Is 256 GB enough for a MacBook Air? For most people, yes. Coursework, documents, photos, music and a browser with too many tabs open all fit without much thought. But the number on the spec sheet isn't the number you get, and the gap catches people out. Here's what takes the space, what fills a 256 GB Mac, and how to tell which kind of user you are before you pay for the 512.

The short answer

256 GB is fine if your files are mostly documents, and tight if your files are mostly media. That's the whole decision.

It feels smaller than it sounds because two subtractions happen before you save anything. Drive capacity is quoted in decimal gigabytes, so a "256 GB" disk formats to roughly 250. Then macOS and the apps that ship with it take their share. People setting up new machines commonly report between 200 GB and 230 GB free at first login, depending on the macOS version and what came pre-installed.

So the honest planning number is around 210 GB. Everything below assumes that.

Where the first 40 GB goes before you touch it

macOS isn't small, and it doesn't shrink. Beyond the system itself, a new Mac arrives carrying apps you may never open, and some of them are large. GarageBand's optional sound library alone can run to tens of gigabytes if you let it download, which makes it one of the first things to check. Then there's the category that confuses everyone. Open System Settings > General > Storage and you'll find a slice labelled "System Data", often 20 GB or more, refusing to explain itself. It isn't junk, exactly. It's caches, logs, snapshots and files that belong to no other category. What "System Data" actually is covers what lives in there and what can safely go.

What fills a 256 GB Mac

Four things, in roughly this order.

Photos: the big one, and you can do the arithmetic yourself. A photo from a recent iPhone runs around 3-5 MB, so five thousand of them is 15-25 GB before a single video. If you shoot video, multiply. iCloud has a setting that keeps full-resolution originals in the cloud and smaller copies on the Mac, which changes this completely. iPhone and iPad backups: if you've ever backed up a phone to this Mac, a copy of that phone is sitting on the disk, and nothing cleans it up on its own. One backup can be 30 GB or more. They're safe to delete once you know what you're giving up.

Downloads you forgot about: installers, PDFs, a video someone sent you in March. This folder is nearly always worth ten minutes.

Time Machine's local snapshots: even with no backup drive attached, macOS keeps snapshots on the internal disk, and they quietly inflate that "System Data" number. Local snapshots, explained covers how to see them and clear them safely.

None of these are things you did wrong. They're just where the space goes, and none of them announce themselves.

When 256 GB is fine

If your work is text, spreadsheets, slides, a browser and an ordinary photo library, 256 GB won't be what limits you. Streaming music and video rather than downloading removes the single largest category most people carry. The Mac will feel exactly as fast as a 512 GB one, because for everyday work the disk size isn't what determines speed.

Students tend to be fine here, with one caveat. A degree that involves video editing, photography or large datasets is a different machine entirely, and no amount of housekeeping fixes it.

When it isn't

Buy more storage if you already know you do any of these:

  • Keep a large photo or video library you want available offline
  • Record or edit video, even occasionally
  • Install several big games
  • Work with large local files that can't live on an external drive

Why this matters more on an Apple silicon Mac than it used to is blunt: storage is soldered to the logic board. No upgrade later, no swapping the drive in two years, no adding a second one. The configuration you buy is the configuration that machine has for its whole life. That's a strong argument for spending the extra money once if you fall into the list above, and a poor reason to spend it if you don't.

If you have an M2 Air, one extra thing

Worth being precise about, because the internet isn't.

In 2022, base-model Macs with 256 GB switched to a single flash memory chip instead of two. Storage chips work in parallel, so one chip meant slower disk speeds: benchmarks of the 256 GB M2 MacBook Air showed sequential reads around 1,576 MB/s, well below the higher-capacity models. The same applied to the 15-inch M2 Air in 2023.

Apple went back to two chips with the M3. So:

  • M2 Air with 256 GB: your disk is measurably slower than the 512 GB version of the same machine.
  • M3 and later: this no longer applies, and repeating it as current advice is just out of date.

For everyday use the difference is much smaller than the benchmark gap suggests. Where it shows up is when the disk is nearly full and the Mac has started leaning on it.

A full disk is also a slow disk

Storage and speed are the same question on a base-spec Mac, and this is why.

When memory gets tight, macOS moves data it isn't actively using out to the SSD. On an 8 GB Mac that happens routinely and is entirely normal. 8 GB on an M-series Mac covers why it works better than it sounds. But it only works while there's free space to move data into. A disk with a couple of gigabytes left takes that option away, and a Mac that can't do it slows down in a way that feels like the machine failing rather than the disk being full.

It's also why macOS warns you well before zero. If you've seen that alert, what to do about it beats deleting things at random.

The practical rule: keep some room spare, not because a number looks better, but because the Mac uses that room to stay quick.

Living in 256 GB

If you already have the machine, this order works:

  1. Look before you delete. System Settings > General > Storage gives you Apple's own breakdown, free, in about ten seconds.
  2. Deal with the four categories above (photos, phone backups, Downloads, snapshots) before touching anything else. That's almost always where the space is.
  3. Move archives to an external SSD. Things you want but rarely open don't need to be on the internal disk.
  4. Only then consider a tool.

That order is deliberate. macOS handles more of its own housekeeping than most cleanup software admits, and a lot of what "Mac cleaners" free comes straight back within days.

Know before you decide

The usable number is about 210 GB, not 256, and which side of "enough" you land on comes down to one thing: documents fit, media doesn't. That's worth settling before you buy, because storage is soldered and the machine you choose is the machine you keep. What's hard to do by hand is seeing where the space went in the first place, since the parts that fill up are the parts macOS doesn't show you.
